Convention Regulations

§1. General provisions

  1. The Regulations apply to the Far Eastern culture and pop culture festival RYUCON 2024, taking place on July 5 – 7, 2024 at TAURON Arena Kraków – hereinafter referred to as the festival. The regulations are defined between: RYUCON SP. Z O. O. – entered into the National Court Register under the NIP number 6751761464, being the organizer of the festival, responsible for enforcing compliance with the Regulations, and a participant of the festival, specified in point 2 §1.
  2. A festival participant is any person who:
    • purchased an admission ticket to the festival under the conditions specified in §2
    • is an Exhibitor – under the conditions specified in §3
      is a “Helper” – under the conditions specified in §4
    • is a person invited by RYUCON SP. Z O. O.
  3. Every person staying on the festival grounds during the festival is obliged to comply with the provisions of these Regulations.

§2. Participation in the festival

  1. Any person who is a festival participant specified in point 2 §1, as well as the organizers and security services may stay on the festival premises.
  2. Entrance tickets to the festival will be available from May 30, 2024. Tickets are sold in two rounds via the Nagato system https://nagatosystem.pl/:
    a) The first round lasts from May 30, 2024 to June 30, 2024. The ticket cost is:

     

    • PLN 119 for a ticket valid for 3 days of the festival from July 5, 2024 to July 7, 2024.
    • PLN 89 for a one-day ticket valid on Saturday, July 6, 2024.
    • PLN 59 for a one-day ticket valid on Friday, July 5 or Sunday, July 7.
    • PLN 279 for a VIP Scarlet ticket valid for 3 days of the festival from July 5, 2024 to July 7, 2024.
    • PLN 199 for a VIP Violet ticket valid for 3 days of the festival from July 5, 2024 to July 7, 2024.

    b) The second round lasts from July 1, 2024 to July 7, 2024. The ticket cost is:

    • PLN 139 for a ticket valid for 3 days of the festival from July 5, 2024 to July 7, 2024.
    • PLN 99 for a one-day ticket valid on Saturday, July 6, 2024.
    • PLN 69 for a one-day ticket valid on Friday, July 5 or Sunday, July 7.
  3. The number of tickets of each type is limited.
  4. The ticket fee specified in point 2a) and 2b) §2 must be paid to the bank account number provided in the reservation system within seven days from the date of booking. You are permitted to pay fees on behalf of third parties.
  5. Ticket pre-sale lasts from May 29, 2024 to June 30, 2024. RYUCON SP. Z O. O. reserves the right to suspend or extend the pre-sale, in particular if the convention is canceled or the entire pool of tickets is sold out, or the number of tickets intended for pre-sale is not sold by July 4, 2024.
  6. The festival ticket is not personal. You can resell it or give it to a third party.
  7. Tickets purchased for the festival are non-refundable.
  8. Minors are obliged to provide written consent from their parents or legal guardians to participate in the festival. This document should contain the following data: name and surname of the minor and the parent or legal guardian, date and place of the festival, contact telephone number of the parent or legal guardian. The consent form will be available on the festival’s website.
  9. Each Festival Participant receives from RYUCON SP. Z O. O. a wristband that must be worn in a visible place during the festival.
  10. It is prohibited to make the wristband available to third parties.
  11. People without a wristband, with visible traces of an attempt to remove the wristband or with a glued wristband will be removed from the festival area.
  12. The loss of a wristband should be reported to the convention accreditation office as soon as possible. It is possible to purchase a new ID badge and/or wristband at a price determined individually, but not higher than the price of a ticket sold on site.
  13. By participating in the festival, the participant agrees to have his or her image published on social media.

§3. Exhibitors

  1. Every person who purchases an exhibition ticket becomes an exhibitor.
  2. The conditions for purchasing an exhibition ticket are detailed in the Exhibitor Regulations available on the website.

§4. Helpers

  1. A Helper is any person who is willing to help in creating the convention and is accepted by the Helper Coordinator appointed by RYUCON SP. Z O. O.
  2. Helper helps in organizing the convention free of charge.
  3. The Helper is obliged to follow the recommendations of the Helper Coordinator.
  4. During the RYUCON SP. convention. Z O. O. provides Helpers with:
    • a place to sleep,
    • meals and drinks,
    • Helper’s T-shirt,
    • refund of festival ticket costs
  5. Helper undertakes to wear the Helper T-shirt throughout the festival.
  6. Details of the Helper functions are regulated by the Helper Regulations, which will be published on the website https://ryucon.pl.

§5. Rights and obligations of the Festival Participant

  1. Participants are obliged to behave in a polite manner during the festival on its premises.
  2. Participants are obliged to follow safety rules and to provide help to people in need. In the event of any danger threatening the health, life or property of persons staying on its premises during the festival, festival participants are obliged to immediately notify the organizers or security personnel of this fact.
  3. Festival participants are obliged to follow the recommendations of the organizers, helpers and security staff.
  4. All persons staying on the festival grounds are prohibited from bringing into the festival grounds and using, as well as consuming, objects and substances that may pose a danger to other people, in particular:
    • intoxicants and drugs,
    • all weapons, including training weapons (this point does not apply to shows, LAPRs and Cosplay competitions. However, each such item must be reported to the Organizer),
    • flammable, toxic and radioactive chemicals,
    • explosives and pyrotechnics,
    • personal defense equipment such as pepper spray, electric stun guns, police batons and telescopic batons.
  5. All persons staying on the festival grounds are prohibited from bringing alcoholic beverages into the festival grounds. Alcoholic beverages may be purchased and consumed by adults in specially designated areas.
  6. Festival participants are obliged to keep the festival area clean and tidy.
  7. It is forbidden to destroy any property. The perpetrator is responsible for any material damage caused.
  8. Smoking is strictly prohibited on the festival grounds, except in places specifically designated for this purpose.
  9. The consumption of intoxicants and persons under their influence are not allowed on the festival grounds.

§6. Rights and obligations of RYUCON SP. Z O. O.

  1. RYUCON SP. Z O. O. undertakes to provide festival participants with attractions specified in the event program, available at https://ryucon.pl seven days before the start of the convention.
  2. RYUCON SP. Z O. O. undertakes to update the attractions program on the website as soon as possible after changes are introduced.
  3. RYUCON SP. Z O. O. does not accept liability for parts of attractions that did not take place for reasons beyond the control of RYUCON SP. Z O. O., in particular such as: absence or unpreparation of the speaker, or technical problems with the speaker’s equipment.
  4. RYUCON SP. Z O. O. provides convention participants with protection and a First Aid Point during the festival.
  5. RYUCON SP. Z O. O. does not provide health insurance to festival participants. Participants may purchase insurance on their own.
  6. RYUCON SP. Z O. O. is not responsible for any accidental events resulting in loss of health or life.
  7. RYUCON SP. Z O. O. does not accept financial responsibility for Participants’ items left unattended.
  8. RYUCON SP. Z O. O. has the right to cancel the convention, change the date and/or place of the festival, without prior notice or giving a reason, for reasons for which it is not responsible, in particular: declaration of national mourning, illness, indisposition or other reason beyond the responsibility of RYUCON SP. Z O. O. objective reason preventing the organization of the festival. In such a case, the ticket holder has the rights provided for by law.
  9. RYUCON SP. Z O. O. reserves the right to refuse the sale of a ticket and admission to the festival without giving a reason to any person, in particular to persons who threaten the safety of participants, intoxicated persons, persons under the influence of intoxicants, persons who threaten the good name of the Organizers, Co-Organizers or Guests of the convention.
  10. Security Staff, with the consent of RYUCON SP. Z O. O., have the right to search the belongings of convention participants in order to prevent or detect violations of the regulations.
  11. RYUCON SP. Z O. O. has the right to remove people who violate the provisions of the Regulations from the festival premises. Such persons are not entitled to a refund of the ticket cost. In the case of minors, parents or legal guardians are notified.

§7. Final Provisions

  1. RYUCON SP. Z O. O. reserves the right to make changes to the Regulations without having to inform participants in advance. The current version of the Regulations after the changes are introduced will be published on the convention website at https://ryucon.pl.
  2. The purchase of a ticket by a Festival Participant is tantamount to acceptance of these Regulations.
  3. In matters not regulated by these Regulations, decisions are made by RYUCON SP. Z O. O., guided by the good of the Participants based on the Civil Code.
  4. Failure to read the regulations does not exempt the Participant from complying with them.
